Why a fixed stop sequence matters

A pool stop is short — often 15 to 25 minutes — and it's easy for a rushed technician to skip a step under time pressure, especially the ones that don't visibly matter that day: a filter pressure check, a rechecking of a suspicious reading. A fixed sequence, done the same way on every pool, protects against exactly that. It also means that when a customer disputes something three weeks later, there's a consistent process behind the answer rather than a technician's memory of one specific Tuesday.

The standard weekly stop sequence

Equipment inspection points

  • Pump: unusual noise, visible leaks at seals or unions, basket condition.
  • Filter: pressure gauge reading against that system's known clean baseline, visible cracks or leaks.
  • Heater: error codes or visible fault lights, venting obstruction, corrosion at connections.
  • Salt cell: visible scale buildup, cell housing condition, generator display readings.
  • Valves and actuators: correct position for the current mode, unusual resistance or noise when operated.
  • Deck and safety equipment: fencing latch function, cover condition, visible electrical hazards near the equipment pad.

Documentation and photo discipline

A photo and a recorded reading are not busywork — they are what stands between the company and an unresolvable dispute. "The water was green when the tech came" versus "the water was clear and here's the timestamped photo" is the difference between a five-minute conversation and an hour defending a charge, or worse, a lost customer over something that did or didn't happen at the visit.

  • Take a photo at arrival if anything is already abnormal, and again at departure.
  • Photograph any equipment fault found, before touching it, in case it needs later reference for a repair quote.
  • Note anything unusual in a free-text field even if it doesn't change the day's service — a slow leak that isn't urgent yet is worth a note before it becomes urgent.
  • Attach readings and photos to the specific visit record, not a general customer note, so the timeline is reconstructable.

Skip and delay reporting

A skipped stop should never be a silent gap in the schedule. Whether it's skipped because of a locked gate, aggressive dog, or a scheduling overrun, the reason needs to be recorded the same day, both to protect the company (a customer shouldn't be billed for a visit that didn't happen, and shouldn't be surprised by one that was skipped) and to trigger a rebook.

  • Log the skip reason immediately, on the day, not from memory at end of week.
  • Notify the customer the same day if access was the issue, so it can be resolved before the next scheduled visit.
  • Flag skips for office follow-up rather than assuming the tech will remember to reschedule informally.
  • Track repeat skip reasons per customer — a pattern (recurring gate access issues, a dog let into the yard) is worth a direct conversation, not another silent skip.
