Customer texting

Your company texts back — from a number that is yours.

Pool customers text. When those texts land on personal phones, the company loses the thread the moment a tech leaves. POOLIO gives you a registered company number, a shared inbox tied to customer records, and AI drafts that make replying take seconds.

  • Dedicated company number with automated 10DLC registration
  • Shared inbox with conversations tied to the customer
  • AI drafts grounded in plan, schedule, and service history
  • Consent and opt-out recorded and enforced
Your company number

Can you guys come look at my heater this week?

Absolutely. I can get a tech out Thursday afternoon for a heater diagnostic — want me to hold that window?

Yes please.

Booked for Thursday 1-3pm. You'll get a text when the tech is on the way.

Replies are drafted by AI and sent under your rules. Reply STOP to opt out.

Messaging setup

From no number to a working inbox

Business texting in the US is a regulated process. POOLIO automates the parts that can be automated and shows you exactly where you are in the parts that cannot.

  1. Step 1

    Register the brand

Company details are submitted for carrier registration automatically, with status tracked through a visible progress timeline.

  2. Step 2

    Wait out carrier review

Approval typically takes about two to three weeks. POOLIO polls status and notifies you at each milestone rather than leaving you to check.

  3. Step 3

    Provision the number

Once approved, a company number is provisioned and attached to your account, ready to send and receive.

  4. Step 4

    Work the shared inbox

Inbound messages route to a conversation on the customer record. Anyone with access can see the whole history, not just their own thread.

  5. Step 5

    Reply with a draft

AI proposes a response using the customer's plan, upcoming visit, and recent service. Approve, edit, or replace it.

  6. Step 6

    Stay compliant

Consent recorded per customer, stop handling honored, and published SMS terms and a consent page for your customers.

Operational outcomes

Why the company number matters

The thread survives turnover

Conversations belong to the company record, not to whichever phone they landed on.

Context before you answer

The last visit, the balance, and the plan are on screen while you reply.

Predictable messaging cost

Segment and credit accounting with limits, and photos sent as links by default.

POOLIO organizes the work and the follow-up. Results depend on your pricing, your route, and how your team uses the system — POOLIO does not guarantee revenue outcomes.

Who it is for

What customers text about

'Are you coming today?'

Answerable from the schedule without calling the tech.

'My pool is green'

Becomes a field issue, an estimate, or a scheduled visit from the same thread.

'What is this charge?'

Invoice, plan, and approved work order are all one click from the conversation.

'Skip me next week'

Recorded on the service history so the tech is not left guessing at the gate.

Buyer checklist

Texting checklist

  • Is the number registered to your business, not a personal line?
  • Do conversations attach to the customer record?
  • Is opt-out handled automatically and recorded?
  • Can more than one person work the inbox?
  • Do automated replies stop when a human takes over?
  • Is there visibility into message cost and usage limits?

FAQ

Frequently asked questions

Do I text customers from my personal phone?

No. POOLIO provisions a dedicated company number for business texting, so conversations belong to the company and stay in the shared inbox instead of on an owner's or tech's personal phone.

How long does it take to get a texting number approved?

Business texting in the US requires carrier registration (10DLC) before a number can send. POOLIO automates the registration and provisioning steps and shows the status through a six-step progress timeline, but the carrier review itself typically takes a couple of weeks and is outside anyone's direct control.

How is consent handled?

Opt-in and opt-out status is recorded per customer and honored automatically by messaging, including standard stop handling. POOLIO also publishes a customer-facing SMS consent page and SMS terms.

Are AI replies sent automatically?

Only under rules you set. Auto-response can be limited by business hours and message type, and human takeover suspends automation on a thread the moment a person replies. Otherwise drafts wait for approval.

Can I send photos to customers?

Yes. By default photos are sent as a hosted link so they cost a single message, with picture messaging available as an explicit per-message choice.

Can I message many customers at once?

Yes. The broadcast center supports composing a message to a filtered customer group with merge fields, subject to consent and usage limits.
