Name, phone, address is not a customer record. The pool is the customer. POOLIO models properties, bodies of water, equipment, chemistry targets, service agreements, consent, conversation history, and money owed — all reachable from one place.
POOLIO's pool service CRM keeps each customer with their properties, bodies of water, equipment, consent, messages, service history and billing in one record. For growth, POOLIO SHARK (+$25/mo) finds pool homes and new owners, and POOLIO BOOST CRM (+$20/mo) captures, scores and follows up those leads.
Find the right pool customers with POOLIO SHARK. Send them straight into BOOST to score, organize, automate and convert. SHARK finds the opportunity. BOOST works the opportunity.
Pool indicators and sale dates come from property records. Enhanced aerial verification where available.
Explore POOLIO SHARKWon leads move into POOLIO Core OS for scheduling, service, billing and payments.
SHARK and BOOST are separate add-ons to Core OS ($45/mo). Get BOOST, SHARK and AI OFFICE together for +$75/mo.
Record structure
Each layer exists because a pool company gets asked about it on the phone.
One customer, many addresses. Property carries access details, gate codes, and the notes a substitute tech needs when the regular tech is out.
Pool, spa, or several. Each one has volume, surface, equipment, checklist requirements, and its own chemistry expectations.
What the customer agreed to pay, how often, and what is included — the record the recurring invoice is generated from.
Texts and emails linked to the customer, with opt-in and opt-out status recorded so automated messaging respects it.
Every visit, skip, chemistry reading, photo, issue, and work order, in order, retrievable long after the tech who did it left.
Invoices, payments, autopay enrollment, statements, and portal access — with role rules that keep financial data away from technician accounts.
Operational outcomes
The prior promise is in the message thread on the record, not in a personal phone.
Chemistry, photos, and timestamps for the visit in question, in a few clicks.
Monthly service and approved extra work are separate lines with an approval attached.
POOLIO organizes the work and the follow-up. Results depend on your pricing, your route, and how your team uses the system — POOLIO does not guarantee revenue outcomes.
Who it is for
One screen with history, balance, plan, and last visit is the difference between a 30-second call and a callback.
Equipment on file plus prior issues means a quote can be built without a site visit in many cases.
Access notes and pool details travel with the property record.
Multi-property customers stay one billing relationship with many serviced locations.

FAQ
A general CRM models a company and a deal. A pool company needs to model a customer, the properties they own, the bodies of water at each property, the equipment on each one, the cadence and price agreed for service, and every visit that ever happened. POOLIO stores those as first-class records instead of as notes on a contact.
Yes. Texts and emails exchanged with a customer are tied to their record along with consent status, so anyone in the office can see what was already promised before replying.
On the customer record. You can see visits, chemistry, photos, and skips alongside invoices, payments, autopay status, and outstanding balance — which is what you need open when a customer calls to dispute a charge.
Yes. POOLIO includes an authenticated customer portal where a customer can view their invoices, quotes, service history, and properties, plus tokenized links for individual invoices, estimates, and service reports.
No. POOLIO uses a soft-delete strategy for customer and company data, enforced at the database level, so records are archived rather than destroyed and history stays intact.
We will build one from a property you actually service — pool details, plan, history, and billing.
