There is no 'best' — there is best for your operation.
Pool companies differ more than the software marketing suggests. A one-truck route business and a repair shop with three crews need almost opposite things. This is the framework we would use if we were buying, including the questions that are inconvenient for us.
- Six evaluation dimensions that actually differentiate
- Concrete tests you can run in a trial
- No vendor ranking and no invented competitor claims
- Last reviewed date and correction link
How to read this page. POOLIO maintains facts about POOLIO only. We do not track or publish other vendors's current features, pricing, ratings, or customer numbers, so nothing on this page asserts them. Everything about other vendors is written as criteria to evaluate directly with that vendor.

Framework
Six dimensions that separate pool software
Score each candidate on these rather than on feature-list length.
- Step 1
Service documentation depth
Can checklists differ per body of water? Do required items gate completion? Is chemistry captured as trendable data? Do photos reach the customer report?
- Step 2
Field reliability
Test a full offline stop with photos. Check what happens on reconnect: order preserved, nothing lost, conflicts surfaced rather than silently dropped.
- Step 3
Billing model fidelity
Recurring plan versus card subscription, protection against double-billing a period, separate billing for approved extra work, and who controls retries after a decline.
- Step 4
Coordination at your size
If you dispatch, you need capacity, durations, conflict warnings, and undo. If you are solo, you need none of it — do not pay for complexity you will not use.
- Step 5
Accounting integration honesty
Anyone can push an invoice. Ask what happens on duplicate customers, conflicting edits, and repeated payment webhooks.
- Step 6
Data ownership and exit
Can you export customers, service history, and invoices whenever you want? Is deleted data recoverable? Assume you will leave someday and check the door works.
Buyer checklist
The trial checklist
Run these six tests during any trial. They take an afternoon and reveal more than a month of demos.
- Complete a stop offline including photos, then reconnect and verify.
- Generate a monthly service invoice and try to generate it twice.
- Send an estimate, approve it, and confirm the approval is timestamped.
- Add a mid-job change order and check it requires separate authorization.
- Pay an invoice by card and confirm it marks itself paid without manual matching.
- Edit an invoice in your accounting system and see whether the sync notices.
POOLIO capabilities
How POOLIO answers each dimension
Stated so you can hold us to it during a trial.
Service documentation
Per-body-of-water checklists with required items gating completion, chemistry and dosage capture, photos, and documented skips raising office alerts.
Field reliability
Prefetched day, locally queued mutations including photos, dependency-ordered replay, temp-ID reconciliation, and a conflict recovery center.
Billing model
Idempotent plan-generated invoices per period, autopay as a separate saved payment method, separate billing for approved work, and owner-controlled retries.
Coordination
Capacity-aware dispatch with unscheduled bin, conflict warnings, bulk actions with multi-level undo, and realtime sync — usable but ignorable if you are solo.
Accounting
QuickBooks Online mapping gates, duplicate scoring, field-level conflict resolution, exact-once payment posting, and a reconciliation report.
Data ownership
Soft deletion for customer and company data so history is preserved and recoverable rather than destroyed.
FAQ
Frequently asked questions
Is there a single best pool service software?
No, and any page that ranks vendors for you is usually selling one of them. The best choice depends on your mix of recurring service versus repair revenue, how many techs you dispatch, whether you bill monthly plans, and how strict your accounting requirements are. This page gives you the evaluation framework instead of a ranking.
What are the most common evaluation mistakes?
Judging on a clean demo route rather than on the seams — an offline stop, a declined card, a disputed scope change, a bookkeeper's edit in QuickBooks. Also: buying for the company you want in three years instead of the one you run now, and ignoring how long business texting registration takes.
How should we test offline capability?
Put a phone in airplane mode, complete a full stop including photos and chemistry, then reconnect and check that everything arrived intact and in the right order. Any vendor confident in their offline support will let you do this in a trial.
What questions expose billing weakness?
Ask whether monthly service is an invoice or a card subscription, what prevents billing the same period twice, who controls retries after a decline, and whether a paid invoice can remain marked unpaid if the customer closes the tab after paying.
Where does POOLIO fit?
POOLIO is built for pool companies that want field operations, repairs, billing, collections, and customer communication in one system, with a QuickBooks integration that handles duplicates and conflicts rather than pretending they will not happen.
