POOLIO Privacy Policy

Overview

POOLIO provides software tools for pool service companies to manage customers, routes, service logs, estimates, invoices, payments, customer communication, AI Inbox, Billing AI, POOLIO Exchange and related business operations.

This Privacy Policy explains how POOLIO collects, uses, discloses and protects information. It applies prospectively from the effective date above and does not rewrite signed transaction records or archived agreement snapshots.

Information we collect

POOLIO may collect and store the following categories of information when needed to provide the service:

• account, company, user, role and authentication information
• customer names, contact information, service addresses, property details, bodies of water, equipment, chemistry readings, dosage records, service logs, service photos and repair history
• routes, appointments, work orders, estimates, invoices, statements, payment status, accounting records and customer messages
• SMS and email communication records, consent status, delivery status and opt-out records
• AI-generated replies, summaries, classifications and workflow recommendations
• device, browser, security, audit, network, location where enabled for proof of service, and diagnostic information
• POOLIO Exchange listing/business data, buyer and seller identity or verification data, offers, deal-room activity, escrow status, signed documents, transaction audit data and service-account/customer data restricted behind transaction gates

How we use information

POOLIO uses information to provide, secure and improve the service, including to:

• operate customer, route, service, billing, communication, AI and reporting features
• process payments through third-party providers and maintain business records
• support POOLIO Exchange listings, offers, deal rooms, identity checks, signed documents, escrow status, audit trails and authorized transaction handoffs
• send product, operational, onboarding, support, SMS and email communications where permitted
• detect abuse, prevent fraud, troubleshoot issues, improve reliability and comply with legal, regulatory, tax, accounting and security obligations

POOLIO Exchange and business-asset transfers

Public Exchange listings do not display homeowner names, exact service addresses, direct contact details, private notes or other customer personal information. Legal agreements identify transferred accounts through transaction/listing references, counts and secure account or snapshot references rather than exposing homeowner PII in public listing text or signed legal text.

Before closing and authorized release gates, POOLIO restricts seller identity, buyer identity, customer-level data and service-account details according to the product workflow and transaction permissions.

When a route or business-asset transaction closes and the applicable authorization gates are satisfied, data associated with the transferred service accounts may be provided to the acquiring business as part of the authorized transfer. Disclosure is limited to the transferred accounts and the authorized transaction.

The acquiring business receives data to evaluate or continue the acquired service relationships, subject to law, the signed transaction documents and its own obligations. The seller is responsible for lawful authority, notices and consents required for the transfer of customer and business data.

Service providers and transaction providers

POOLIO may disclose information to service providers that help operate the platform, including hosting, storage, analytics, logging, communications, SMS, email, AI, mapping, payment, escrow, identity verification, e-signature, security, customer support and integration providers.

These providers may process information only as needed to provide services to POOLIO or to support a user's authorized transaction workflow, subject to their own applicable terms and obligations.

SMS messaging and mobile information

When you provide your mobile number and affirmatively consent to receive text messages, POOLIO may send recurring SMS messages regarding product demonstrations, account setup, onboarding, operational account notifications and POOLIO customer support.

Message frequency varies. Standard message and data rates may apply. Reply STOP to opt out or HELP for help. Consent to receive SMS messages is not a condition of purchasing, requesting a demonstration or creating a POOLIO account.

Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. POOLIO may share limited information, including SMS consent status, with providers that help operate and deliver the messaging program.

Business transfer involving POOLIO

If POOLIO is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of company assets or similar corporate transaction, information may be disclosed or transferred as part of that transaction, subject to appropriate protections and applicable law.

California privacy rights where applicable

Where California privacy law applies to a particular person, company or data set, California residents may have rights to know/access, delete subject to exceptions, correct, opt out of sale or sharing if legally applicable, limit use of sensitive personal information if legally applicable, and be free from discrimination for exercising applicable privacy rights.

POOLIO does not sell SMS opt-in data. POOLIO does not knowingly sell personal information for money. If a POOLIO activity is ever treated as a sale or sharing under applicable California privacy law, POOLIO will provide the required notice and choice for that activity.

Requests may be submitted through support. POOLIO may need to verify your identity and authority before acting on a request. Authorized agents may submit requests where legally permitted, subject to verification of authority. Some business records, security records, legal records, transaction records and service data may be retained where exceptions apply.

Data retention and security

POOLIO retains business records, invoices, payments, service logs, messages, signed documents, transaction audit records, support records and security records as needed for business, legal, tax, accounting, security, product and compliance purposes.

POOLIO uses administrative, technical and organizational safeguards designed to protect information. No system can be guaranteed completely secure, and users are responsible for maintaining secure access to their accounts and devices.

Account deletion

Users may request account deletion by contacting support. Because POOLIO contains business records, invoices, service history, payment records, customer records, signed documents and transaction records, some data may be retained where required or permitted for legal, tax, accounting, security, compliance, dispute-resolution or legitimate business purposes.
